General

UKG is a new ESS that will help streamline our operations and make it easier for you to manage your work schedule, apply for leave, and complete HR actions. It will help you work more efficiently and ensure that we are providing the high-quality care and services that our residents and clients expect.

UKG will go live on 20 June. We will be providing training and support in the lead up to this date to ensure that everyone is prepared and ready to use the new system.
Check the Training section of this FAQ for more information!

No, you will only need to remember one username and password for all of the systems you currently use. This will make it easier and more convenient for you to access the information and resources you need.

There is a great app you can download from your phone’s App Store! You can also access UKG from any device with an internet connection and a web browser.

If you experience technical issues with UKG, please contact the IT team.

Yes, training will be provided to all employees to ensure they are able to use UKG effectively. We’ll be communicating all the training dates and options via posters and SMS closer to training time!

If you encounter any issues or have suggestions for improvements with UKG, please let your manager know and they’ll pass it along to the project team. Alternatively, scan the Comments and Feedback Form QR Code on all UKG posters. Your feedback is important to us and we appreciate your input.

The implementation of UKG will streamline many of our HR processes, such as scheduling, timekeeping, and leave requests. You will no longer need to log into PayGlobal and RITEQ, instead, you’ll only need to access UKG for all this information.

UKG will store all employee data, as well as schedules, timesheets, and leave requests. This data will be used to manage HR processes and to generate reports for management.

Carrington and UKG have several security measures in place to protect employee data, including secure login procedures, encryption of sensitive data, and regular backups of data to prevent data loss. Access to data is restricted to authorised personnel only.

No. From June 20 all information previously available in PayGlobal and Riteq will be in UKG. Please contact Payroll or Rostering for any historic inquiries.

Payslips from our current ESS will be available until 20 June. Please contact Payroll for any historic payslips.

Training

Role-specific training will be provided for using UKG. This means that the training you receive will be tailored to your job duties and responsibilities.

Self Directed: For many employees, reading the instructions might be enough to download the UKG app and understand how to complete the different tasks.

Supported Learning: For other employees, there might be a need to sit with someone and get the support to do these new tasks.

The length of the training will depend on your role and the modules you need to complete. However, the training is designed to be completed within a reasonable timeframe to ensure a smooth transition to the new system. We would expect that most Self Directed and/or Supported Learning to take 30mins

The training for using UKG will be delivered through a combination of online explainer videos, self-directed learning, and in-person Roadshows. You will be able to access the training materials at your own pace, and attend the in-person Roadshows as scheduled.

The UKG Roadshow is a series of in-person training sessions that will be conducted in the Recreation Centre to help employees learn how to use UKG. These sessions will be led by our experienced trainers and will cover a range of topics related to the new system, including how to navigate the interface, how to log in, and how to perform basic tasks such as viewing your schedule, checking your timesheet, and submitting leave requests.
Attendance is highly recommended for all!

If you wish to attend training but are unable to, please contact your manager/admin to discuss alternative options.

Yes, you will receive ongoing support after the training to use UKG. This includes access to user guides, training materials, and technical support.

If you have questions or issues related to the training for using UKG, please contact your manager/admin.

User Accounts

User accounts will be created for all employees automatically. Your login credentials will be sent to your personal email.

Yes, you can change your password at any time.

To do this: log in to any Carrington computer, press ctrl-alt-del, click on change a password.

Your new password must meet several criteria; Can’t be same as last 5 passwords, minimum of 6 characters, can’t be like the username, contain upper and lower case letters and contain a number

If you forget your password, please contact the IT team.

No, sharing login information is strictly prohibited. Each employee is responsible for protecting their own login credentials.

If you suspect someone has unauthorised access to your account, please reset your password as soon as possible and/or contact the IT Team

If you are resigning from Carrington, your account will be deactivated.

Scheduling & Timekeeping

You can access your work schedule in UKG by logging into your account on either the UKG app or on an internet browser, and clicking on the Schedule tab. You can view your upcoming shifts and shift details.

From 20 June, all employees will clock in and out of their shift using the LoopSafe terminals. This means we will no longer have the finger print scanners! Any finger print scanner you currently use will be swapped out with a new LoopSafe terminal.
NB – Community Care will continue to use their current process with their mobile device.

Yes, you can request time off through the UKG app by clicking on the Time Off tab and selecting the appropriate request type. You can then choose the dates you need off, specify the reason for the request, and submit it for approval.

If you have any issues with your schedule, you should contact your Rostering team.
If you have any issues with your timesheets in UKG, you should contact your facility admin or manager for assistance.

Your pay should not be affected by the implementation of UKG . The system is designed to accurately track your hours and pay information, and ensure that you are paid correctly for your shifts!

Payroll

Yes, you will still receive your payslip through our new ESS, UKG.

There will be no changes to the processing schedule, but your payroll team will communicate any changes well in advance and provide guidance.

You will be able to access your payroll information through your UKG account.

No, there will be no changes to the way you receive your superannuation contributions.

If you have any questions in regards to your times, please contact the rostering team first to confirm your working hours.
If you require further assistance please contact the payroll team.

From UKG please use the My HR –> HR Actions –>Personal Information Update

HR

Yes, you will be able to update your details in UKG

New contract of employment or changes to your existing contract will now be sent to you via UKG, and you will be prompted to approve this with just a few clicks of a button.

If you need to report an incident or injury sustained at work, you will report this via UKG

You will be able to do many HR tasks via UKG, such as apply for parental leave, lodge a Hazard Identification, and upload a document to your personnel file.

Troubleshooting

First, ensure that you are entering your correct username and password. If you are still having issues, contact the IT Department or manager for assistance.

If you cannot see your schedule, it could be due to a variety of reasons. Contact the Rostering team for assistance.

Changes to your timesheet can take 24 hours to process. If the error is still there after 24 hours, please contact the Rostering team.

If you are not receiving notifications, it could be due to your notification settings. Check your notification settings in UKG and your phone and ensure that they are configured correctly.

If you accidentally clocked in or out at the wrong time, contact your facility admin to have it corrected.

If you encounter a technical issue, contact the IT Department for assistance.

SSO - Single Sign On

Single Sign On (SSO) means that we only need one username and password for many of our work programs, i.e. ESS, E-mail, Altura, ManadPlus, etc.

Currently, SSO will work for ManadPlus, WebMail, Windows, Altura, and UKG.

No, your carrington.net email address will be replaced by carringtoncare.com.au email address.
Please forward any emails from your carrington.net mailbox to your new carringtoncare.com.au mailbox if you wish to keep them.
